What is the new Peppol e-invoicing regulation?

The new Peppol e-invoicing regulation requires all qualifying businesses to issue, receive and send their invoices digitally using the Peppol network.

As B2B e-invoicing regulations are evolving across Europe, the Belgian government is making electronic invoicing mandatory to combat VAT fraud and streamline administrative processes.


When does the new Peppol e-invoicing regulation become mandatory?

The new Peppol e-invoicing regulation becomes mandatory for all VAT-registered businesses from January 1, 2026.


What are the risks of non-compliance with the new regulation?

Failure to comply with the mandate may result in financial penalties, operational difficulties, and increased audit from tax authorities. We advise you to complete the registration as soon as possible.


Is my business required to register on the Peppol network?

Yes. All business owners (VAT-registered entities and self-employed professionals) must be registered on the Peppol network to be compliant with the new law.


How do I check if I am already connected to Peppol?

You can check your status by entering your VAT number into the Peppol Directory here.

If your VAT number appears and is marked as ‘ready to receive invoices’ (often described as "green-lit"), no further action is needed.


What steps do I need to take to be compliant with the new Peppol regulation?

To ensure you can receive invoices electronically through Peppol from Salonized, follow the steps below :

  1. Check your details in Salonized and make sure your VAT number and name is accurate.

    • Go to Settings > Company info and fill in the VAT number.

    • Make sure the name associated with your VAT number exactly matches your official business registration.

  2. Check your VAT number on the Peppol network and register if necessary. There are three possible scenarios:

    • You are already connected to Peppol. Type your own VAT number into the Peppol Directory here to see if you can receive invoices. If yes, no further action is required.

    • You are not yet connected to Peppol, but you use accounting software (such as Billit, Yuki, or Silverfin). In this case, you are likely already set up. Please check your software settings to confirm "Peppol receiving" is active, or contact your accountant to verify they have enabled it for you.

    • You are not yet connected to Peppol and you DO NOT use accounting software. If that’s the case, you will need to sign up for a digital mailbox (a Peppol Access Point). Billit offers a free option called Billitbox, which takes about 5 minutes to set up. You can sign up here.

  3. Double-check if you’re connected. After taking the necessary steps, double-check your compliance by typing your VAT number into the Peppol Directory again to confirm you are successfully registered and ready to receive electronic invoices.


How will I receive my invoices from Salonized from January 1, 2026?

Once connected, you will receive your invoices through Billit/Billtobox instead of receiving them directly from Salonized.

If you are not connected, your salon(s) will be unable to receive Salonized invoices, which will disrupt your entire Accounts Payable process and could result in financial penalties.


Will the Salonized invoices look different with the new regulation?

The invoices will be Peppol-formatted, but your internal information will remain exactly the same.

The invoice includes a minor visual update. Free employees and locations are no longer listed separately. Instead, the 'Quantity' section now only indicates the number of extra (billable) employees or locations.


Will Salonized automatically make my outgoing B2B invoices Peppol compliant?

No. Currently the service only covers receiving invoices from Salonized. For any invoices you send to other businesses (B2B transactions) that require Peppol compliance, you are responsible for making those arrangements.

I am a VAT-registered salon in the Netherlands, do I also have to comply?

No. If your VAT is registered in the Netherlands, you don’t have to comply with B2B e-invoicing regulations. However, e-invoicing regulations are evolving across Europe so this might change. If so, we will update you.
