An example for a temporary adjustment to your appointment reminder

  1. Go to Settings

  2. Go to Communication

  3. Open your appointment reminder

  4. Change title to:  important information about your appointment

  5. Change the text  
    (save your current version of the appointment reminder somewhere on your computer)

    Example:

    Dear {{first_name}},

    Out of precaution and safety during the pandemic of the Coronavirus, we have decided to close our salon until 'fill-in-date'. This means your appointment of {{date}} at {{time}} has lapsed.

    We will contact you to reschedule your appointment.
    In the meantime if you have any questions, please let us know.

    Kind regards,

    {{company_name}}
    {{company_address}}

  2. The following is happening: you can leave all of your appointments in the agenda. Every customer receives the "important information about your appointment" email instead of your normal appointment reminder. In this case you know which customers you have to reschedule their appointment with and all the data of the current appointments will be saved. If you delete all the appointments, all the data is gone and it is more difficult to reschedule the current appointments.

An example for a manual email to all of your customers

Dear customers,

In connection with the Coronavirus (COVID-19) and the measures taken by the government, we have also taken some additional steps. We keep a close eye on the guidelines of the government. 

The health of our customers and ourselves is the most important thing at the moment. In addition to our standard hygiene procedure, we take the following extra precautions during this difficult period: 

  • We no longer shake hands

  • The doorknobs, pin devices etc are additionally cleaned 

  • The salon is cleaned and ventilated more often than usual 

It is impossible to avoid physical contact in our salon. So if you are sick or doubtful about your health, we kindly ask you to stay at home and to reschedule the appointment.

As long as you have no complaints / symptoms, you are very much welcome in our salon. Of course we will contact you immediately if an appointment cannot be made due to illness.
