How do I use the Cash Register in Salonized?

The Salonized cash register is your central hub for managing daily sales and financial tracking. This guide walks you through the register and the entire checkout flow, from navigating the various sections to completing checkouts, merging appointments, resetting invoices, managing gift cards and your daily cash closure.


How do I navigate the different tabs in the register?

To access the cash register, open your Salonized account and click on the cart icon on the left sidebar. Here you will find different tabs to handle your daily operations:

  • Checkout: The primary area to add Services, Products, Appointments, Gift cards, or Prepaid cards to an invoice.

  • Invoices: A history of all generated invoices with their number, date, employee, customer, total, and status.

  • Day overview: Displays an overview of the appointments completed in that specific working day.

  • Drawer: A summary of your opening amount, current cash balance, payment methods, and transaction descriptions.

  • Cashups: Reports of all end-of-day closures, including location, opening/closing dates, and the staff member responsible.

  • Salonized Pay: Where you can activate Salonized Pay as your provider to accept payments via Adyen. If you are already using Salonized Pay, this tab functions as a dashboard for it.

  • Gift Cards: An extensive detail screen for each gift card, including the purchase date, amount used, and expiration.

  • Prepaid Cards: A summary of all prepaid cards sold, showing the sessions included, used, and remaining balance.


How do I complete a checkout for a customer?

The checkout process is designed to be flexible, allowing you to manually add items or pull them directly from your calendar.

  • Adding items: Select items from the left section (Services, Products, Appointments, Gift, or Prepaid cards) or use a barcode scanner to quickly scan them.

  • Connecting appointments: Start the checkout for an appointment by clicking the ‘Connect appointment’ button.

  • Loyalty points: The customer's loyalty points balance is visible on the main register screen, directly above the 'Checkout' button, allowing you to apply discounts instantly.

    • Note: Redeeming loyalty points is handled within the customer profile.

  • Finalising: Click Continue, select the payment method, and click Complete invoice (or save as unpaid).

  • Post-checkout options: In the pop-up window, you can send a digital invoice, book their next appointment, view a PDF, or go back to the calendar.


How do I merge multiple appointments or reset an invoice?

Managing complex checkouts, such as group bookings or mistakes, is simple within the register interface.

  • Merging appointments: Click the Appointments section on the left side to see a chronological list. You can find and add a second appointment (e.g., a mother booking for herself and her child) to merge them into one checkout.

  • Linked items: If you remove a treatment linked to an appointment, you’ll be asked if you want to remove the associated appointment to prevent incorrect checkmarks in the calendar.

  • Resetting: Use the bin button at the bottom of the register to easily clear your register and start over.


How do I manage gift cards and prepaid cards?

Dedicated tabs allow you to track balances, history, and reporting for your store credit and packages.

  • Gift Card Details: Clicking a gift card opens a detail screen showing the purchase date, associated invoice, and when the card was used.

  • Searching and Filtering: At the top left, you can search for a gift card by its number or filter by its current status.

  • Reporting: Use the ‘Export’ button on the top right to download a report (csv or XLS) or import new cards.

  • Prepaid Tracking: View the quantity of sessions included in a card, how many have been used, the price, and the status for each customer.


How do I track my daily cash flow and closures?

The register helps you stay accountable for all physical and digital transactions throughout the day.

  • The Drawer: See when you opened your register, along with a summary of the amount generated and current cash balance.

  • New Transactions: You can create a new transaction or close the register by clicking the buttons on the top-right of the Drawer tab.

  • Closure Reports: The Cashups tab displays all end-of-day closures, ensuring you have a record of who closed the register and where.
