How do I filter my customer list?

Use filters to narrow down your customer list for targeted actions.

Filtering your customer database is a powerful way to identify specific groups for targeted actions, such as marketing campaigns or loyalty outreach. Whether you want to send a promotion to clients who haven’t visited in three months or target fans of a specific product line with a flash sale, these filters help you reach the right people at the right time. In this article, you will find everything you need to know to use filters efficiently and leverage them to grow your business.


How do I access the filtering options?

Here’s how you can start filtering your client database on Salonized:

  • Click on Customers (the people icon in the left sidebar).

  • Go to the Customer list tab.

  • Click the Filter icon to open the list of all available criteria.


Which filters can I apply to my customer list?

You can filter your customers using a variety of specific data points. Here is a breakdown of the available options:

  • Age: Based on the date of birth set in the customer’s profile.

  • Appointments:

    • Appointments that are scheduled for today.

    • Appointments that are scheduled for yesterday.

    • Appointments that are scheduled for tomorrow.

    • Appointment cancelled (customers with at least one cancellation).

    • Appointment count (total amount of past and future appointments).

    • No future appointments

    • Select time period (customers with appointments within a specific custom date range).

  • Birthday wishes:

    • Upcoming birthdays in chronological order (next 365 days).

    • Birthdays within a selected time period.

  • Customers:

    • Best customers (all customers with at least one paid invoice, sorted by total spend).

    • Debtors (customers with at least one unpaid invoice, sorted by amount owed).

    • Blocked customers

    • Archived customers (inactive)

    • Created at (customers added to the system within a certain date range via booking, manual entry, or import).

  • Gender: Based on the gender set in the customer’s profile (male, female, non-binary, unknown).

  • Labels: Based on custom tags created in Settings > Customer settings (e.g., favourite clients).

  • Last appointment:

    • Select amount of days (customers who visited exactly X days ago).

    • Select before date (customers who visited before a specific date).

  • Loyalty points: Based on points acquired per invoice.

  • Money spent:

    • Total spent within the last 365 days (based on paid invoices).

    • Total lifetime spend.

  • No-shows: Total number of no-show appointments recorded.

  • Products: Customers who purchased specific items.

    • Note: Selecting multiple products applies "OR" logic, increasing your results.

  • Services: Customers who received a specific treatment.

    • This is based on paid invoices, not just scheduled appointments.

    • Select multiple services to use "OR" logic.

    • Please note: You cannot filter by a service or category if it has been deleted or modified. To maintain your data history, avoid deleting categories with many associated appointments.

  • Treated by: Customers who had a treatment with a specific employee (based on paid invoices).


How do the filtering logic and results work?

Once you apply your criteria, the system manages the data using specific rules:

  • AND Logic: You can apply multiple filters at once, but they work with "AND" logic. This means the more filters you add, the narrower and more specific your results will be.

  • Criteria Entry: For filters like "Last appointment," you must enter the specific threshold (e.g., > 90 days ago) to see customers who haven't visited in that timeframe.

Managing Results:

  • The total number of results found will be displayed at the top of the page.

  • Applied filters appear as "chips." You can remove a specific filter by clicking the X on its chip.

  • Click Clear filters to reset the view and return to your full customer list.


What actions can I take after filtering my customers?

Once you have identified your target group, you can perform several bulk actions:

  • Send Messages: Send an email, SMS, or newsletter directly to the filtered group. You can do this via Salonized or by syncing the list with Mailchimp for a professional newsletter.

  • Apply Labels: Bulk-tag the filtered group with a specific label for future reference.

  • Archive: Archive the selected customers to remove them from your active list (they can be unarchived later if needed).

  • Search Within Results: Use the search bar to find a specific individual within your currently filtered group.
