It might occur that a client has to cancel their appointment unexpectedly. It would be a shame to suddenly have an empty spot when your day has been fully booked. The updated "waiting list" function is made to prevent situations like these!

The waiting list is a great service for your clients to give them an extra chance to get an appointment in your salon. View the waiting list entries of that day directly from the calendar and make your clients happy with a spot in your calendar!

Enabling the waiting list

You can enable the waiting list via the marketing area on the waiting list page. As soon as you enable the waiting list, it will appear in two different ways:

  • Clients will now be able to sign up for days that are fully booked, via the online booking widget.

  • You will now have the option to manually add customers to your waiting list.

On this page you will be able to see a daily overview with the customers that signed up for the waiting list for that specific day or for multiple days including that specific day. You will also get to see for which service(s) they signed up, which parts of the day (if they selected multiple days), the employee preference (if any) and if they left a note.

Manually adding a customer to your waiting list

When adding a customer to the waiting list manually you will need to fill in certain details:

  • Customer *

  • Service(s) that the customer would like to book

  • Employee preference, if applicable (optional)

  • (NEW ✨) Available date

    • Specific date

    • Days of the week

  • (NEW ✨) Day of the week

    If you selected 'days of the week' in the previous step you can choose multiple days of the week. Example situation: if you select Tuesday and Wednesday, the customer will be registered for every Tuesday and Wednesday (so not only for that week) in the future until an appointment is booked for that person.

  • (NEW ✨) Part of the day

    If you selected 'days of the week' you can indicate which parts of the day suit the customer best. If there is no preference, leave all options selected.

  • (NEW ✨) Note

    If you need to add a note to remember something you can do so in this field.

* If a new customer (that is not in your customer base yet) wants to sign up for the waiting list, you will need to add them to your customer base first, which can be done directly via the 'waiting list' page by adding a new registration.

Where to manually add a customer to the waiting list

  • (NEW ✨) Via the calendar
    From now on you can also add a customer to the waiting list via the calendar in your account. Simply click on the white box below the date you want to select and then click on 'waiting list' to add someone manually.

  • Via the marketing area

    Go to the waiting list page in your marketing area, where you enabled the feature. Here you will be able to add someone by clicking on the 'New registration' button in the upper-right corner.

  • Via the promote page
    Alternatively, you can also add a customer to your 'Waiting list' page within the Promote section by clicking on 'new registration' in the upper-right corner.

Signing up for the waiting list online

If the customer is trying to book an appointment for a specific service on a day that is fully booked they will see a little clock underneath the date. The customer can click on that date to sign up for the waiting list.

The customer can then choose to either:

  • Sign up for a specific day

  • Sign up for multiple days or all days

If they select multiple days they will then be able to indicate the availability per part of the day. So if they're only available in the evenings, they can indicate that. If they don't have a preference they can keep all options selected.

As soon as the customer has signed up via the booking widget, you will receive an e-mail with their details. The customer will see the confirmation in the booking widget.

Signing up for the waiting list is not the same as booking an appointment. As soon as a new spot opens up in your agenda, you can approach one of the customers on the waiting list to make an appointment.

There are different ways of approaching customers on the waiting list. First go to a waiting list registration, either via the calendar, marketing area or promote page.

If you click on the three dots next to a registration you can contact someone via the phone (click on "view customer" and use their phone number) or via mail (click on "Email").

If you don't need to contact the customer first, you can alternatively create an appointment for them already directly via the page by clicking on "Create appointment". If you do this, the customer's registration on the waiting list will be automatically deleted.

If you end up informing the customer about a free spot via e-mail, clicking on the three dots and then on E-mail customer will trigger an automatic e-mail. The e-mail below will be directly sent to the customer:

The customer will be redirected to your booking widget via the link in the e-mail.

If you would like to change the text of this email, you can do so via marketing area > email > automated emails > waiting list:

Visibility in the calendar

At the top of your calendar, you will see a notification if there is a client on your waiting list that day. When clicking on it, you will see a more detailed overview of all the registrations on that day.


You can see how many people are on the waiting list today via the dashboard. If you click on 'waiting list today' you'll be redirected to the waiting list page in the marketing area. There you'll be able to see all the details of the customers that are registered for the waiting list, today or on any day.
