How do I manage Treatment Reports for my appointments?

Use treatment reports to make sure you never miss a detail of your appointments.

Treatment reports help you document the essential details of a client’s visit, from saving specific hair colour codes to tracking progress with before/after photos, so you can always offer the best personalised experience. This article covers how to create, view, and export these reports to ensure your client files are always up to date.

Note: Treatment reports are available to all users on Basic and Pro packages.


How do I add a treatment report from the calendar?

After an appointment, you can easily write a new treatment report to record the details of the service or visit. Here’s how to do it from the Calendar:

  1. Go to the Calendar.

  2. Click on the appointment.

  3. Click on 'More'.

  4. Click the 'Write report' button on the right side.

  5. In the screen that opens, you can add notes and upload photos (e.g., before/after photos).

    • Supported file types: JPG, JPEG, PNG, HEIC, PDF.

  6. Click ‘Save’.


How do I add a treatment report from a customer profile?

You can also add a new treatment report directly from the customer profile without having to use the calendar.

  1. Go to Customers.

  2. Select your desired customer.

  3. Click the ‘Create report’ button at the top left, or

  4. Create a new report via the ‘Reports’ tab > ‘Create Report’.

  5. Fill in the details.

  6. Save the report.


How do I view existing treatment reports for specific customers?

If you want to review the treatment reports and history for a specific individual, follow these steps:

  1. Go to Customers.

  2. Select a customer.

  3. Click on the Reports tab under the client's name.

  4. Here you will see all treatment reports linked to appointments in chronological order.

Note: There are no permission limitations for seeing and writing reports. Even user accounts with Calendar view (the most limited permission) can see and write reports.


How do I access recent treatment reports via any appointment?

In the appointment details screen, you can quickly reference historical data to prepare for a current session.

  • Click on an appointment to open the details screen.

  • View the 5 most recent treatment reports directly.

  • If reports have been saved for the client, you will see an ‘Appointment reports’ tab at the bottom of the appointment.

  • You can open (and edit) an appointment report by clicking on it from within the appointment.


How do I export my treatment reports?

If you need a hard copy or a digital backup of your records, you can perform a lifetime export.

  1. Go to Settings.

  2. Select Data exports.

  3. Select Lifetime exports.
