We know how complicated managing business accounting can be. Whether you are on the Basic or Pro package, Salonized automatically records all sales so you can easily export your data to an Excel or CSV file. From there, you can import it into your accounting software or share it directly with your accountant. This article covers how to navigate the export settings, the different types of data available, and how your downloads are processed.
How can I export my data?
Exporting your business data is simple. Here’s the step-by-step process:
To begin, navigate to Settings → General → Data Export.
Choose your export period: With the new, streamlined Tab system, you can choose between two types of exports at the top of the page:
Monthly Exports: Best for standard accounting periods.
Lifetime Exports: Best for comprehensive data.
Select the report information you want to export.
Choose the file type: Select XLS or CSV.
Click ‘Export’.
What data can I export?
With Salonized, you can export a wide range of data to suit your business needs. Depending on the reporting period you select, you will find the following categories:
Monthly Exports (Accounting & Financials)
Daily Totals (Dagtotalen): A summary of your daily revenue, perfect for CSV import into accounting software.
Invoices: An overview arranged by invoice number, including payment method, employee, and outstanding balances.
Invoice Items: A granular view showing exactly which products or services were sold per invoice, including the employee and customer involved.
Petty Cash (Kasuitgaven): A clear overview of all manual cash expenses.
Datev: Specialized export format commonly used for German accounting standards.
GoBD: A data export that complies with German digital record-keeping requirements.
Drawer Transactions: A detailed log of all actions and movements within your cash drawer.
Tips: A summary report of all gratuities received by your staff during the month.
Worked Hours: An overview of the hours logged by your employees for payroll or scheduling review.
Lifetime Exports (Databases & Management)
Customer Database: A full list including names, addresses, contact details, and birthdays. You can choose to export either basic data or the full database.
Products: A comprehensive list useful for bulk editing EAN numbers or reviewing stock values as of January 1st.
Current Product Stock: A real-time snapshot of your inventory levels at the moment of export.
Appointments: A complete history of all bookings ever recorded in your calendar.
Deleted Appointments: A record of cancelled or removed bookings for audit purposes.
Absences: A list of all staff 'time-off' blocks or non-availability periods.
Treatment Reports: Detailed notes and records from specific client services.
Lifetime Tips: A complete historical record of all tips earned since your account began.
How does the download work?
Depending on the size of the data, your file will be delivered in one of two ways:
Instant Downloads (Monthly): When exporting data for a specific month, the file will download immediately to your computer.
Background Processing (Lifetime): Larger files are prepared in the background. You will see a message: 'Your export will be ready in a few minutes'.
Note: You will receive an email with a direct download link once the export is complete. You can have the email sent to the company email address (the email address you specified as the notification email address in Company Settings) or to the email address of the user account that is currently logged in.
Where can I find my exports?
All background exports will appear in the Exports Table section.
A few things to keep in mind:
Automatic Refresh: You don’t need to refresh your browser. The app checks for updates every 20 seconds and will display the download link as soon as it's ready.
Navigate Freely: You don’t have to stay on the page. Feel free to book appointments or check out a client; your file will continue to process, and you can come back to download it whenever you're ready.
Storage & Expiry: To keep your data secure, generated files remain in the list for 14 days. After two weeks, the file is automatically removed. If you need it again, simply click 'Export' to generate a fresh version.
How can I handle multi-location exports?
If you manage multiple locations, you will have to select ‘Entire company’ or ‘Per location’ directly inside the export form itself. This ensures you know exactly which data is included in your file.
