How do I manage Categories and Services on Salonized?

Organising the services you offer is the first step toward ensuring a seamless booking experience for your customers. In this article, you will find everything you need to know about setting up categories to keep your calendar tidy, adding and managing individual services, and mastering advanced scheduling features like processing times, buffers and resources to optimise your workday.


How do I add categories on Salonized?

For a perfectly organised calendar, it’s best to create your Categories first. This allows you to organise your services effectively from the start, helping you manage your menu effortlessly and simplifying the booking process for your customers. No more scrolling through a long, messy list under a 'General' category. To create categories:

  • Go to Settings

  • Under ‘Calendar’, select ‘Services

  • Click the ‘Create new’ button in the top right.

  • Select ‘Add Category’.

  • Give the category a name and a colour (to distinguish it easily in the calendar)


How do I sort the order of categories on Salonized?

The order of the categories in your Salonized account determines how they appear to clients in the booking widget. Here’s how you can sort them:

  • Drag & Drop: Simply click and hold a category to move it to your preferred spot.

  • Arrow Controls: Click the arrow icon in the top right to reveal movement arrows next to each category, then click them to shift your list up or down.

Hierarchy: Keep in mind that categories cannot contain subcategories; they all exist on a single level.


How do I delete categories on Salonized?

  • If you need to remove a category, you must first remove all services from it or assign them to another category.

  • Once the category is empty, click on the three-dots icon next to the category and select ‘Delete’.


How do I create a new service on Salonized?

Every service must be assigned to a category to keep your menu organised. So, after creating your categories, you can start adding your services:

  • Go to Settings.

  • Under Calendar, select Services.

  • Click the Create new button in the top right and select Add Service.

  • In the ‘General’ section, select the associated category and enter the service name, price, and VAT rate.

  • Set the total duration in minutes (e.g., 20, 30, or 45 minutes).

  • Click More options to add processing or buffer time.

  • Add a variation if necessary, then click Save.


How do I use processing and buffer times?

These tools help you manage your time more efficiently, whether you need a gap between clients or the ability to double-book during a treatment.

Processing Time:

This allows you to accept new appointments during a service's downtime. It’s the perfect tool for multitasking while a treatment, like hair colour, requires time to develop.

  • Setup time: Time spent busy with the customer (e.g., applying hair dye).

  • Processing time: Time you are available for another customer (e.g., while dye sets).

  • Finishing time: Time you are busy with the first customer again (e.g., rinsing hair).

Buffer Time:

Buffer time adds a private cushion to your schedule without changing the duration shown to customers. For example, a 60-minute service with a 15-minute buffer will appear as '60 minutes' to the client, while 75 minutes are blocked in your calendar to give you time to reset.

Note on availability: Services do not have their own separate schedules; they always follow the availability of the assigned employee.


How do I assign a resource to a service?

Resources ensure that everything you need (whether it’s a specific room, a piece of equipment, or an extra set of hands) is available before a booking is confirmed. Once you’ve created a service, you can assign these requirements to prevent double-booking.

Types of Resources:

  • Rooms: Assign a specific treatment room if the service can only be performed in a dedicated space.

  • Equipment: Link specific tools (like a laser machine) so the system knows only one such service can be booked at a time.

  • Staff: Add an additional team member if the service requires two people (e.g., a duo massage).

Note: For each additional staff member added to your monthly subscription, there is a charge of €5 (Appointments package) or €7.50 (Basic and Pro packages).


How do I manage advanced service settings?

With Salonized, you have full control over which services. Once the basic details have been entered, you can manage specific settings such as:

  • Online Bookings

    • Service bookable online: If enabled, your customers can book this service using your online booking widget. If a service isn't appearing, check the online status, resource availability, and service settings.

    • Availability filters: Limit bookings to specific days and times.

    • Service description: Show a longer description of your service to your customers in the online booking widget

  • Communication

    • Additional info via email: This text can be added to email templates (like the appointment confirmation) to inform your customers when booking this specific treatment

  • Other Options

    • Medical service: If enabled, no VAT will be charged when checking out this service in the register.


How do I remove unwanted services from my menu?

Whether you want to take a break from offering a treatment or remove it entirely, you have two main options:

  • Disabling (Offline Mode): If you want to keep a record of the service but stop customers from booking it, simply set it to offline. It will stay in your system for internal use but won't appear in your online booking widget.

  • Deleting: To remove a service permanently, go to Settings > Services, click on the relevant category, select the service, and click the three-dots icon > Delete.

Don't worry about your accounting. If a service is deleted, all historical data (past sales and bookings associated with it) remain visible in your reports.

Renaming vs Deleting:

It is not recommended to rename an old service to a completely new one. Because the system tracks the service ID, the new name will overwrite the old one in your historical reports, which can make your past data confusing. In these cases, it’s always better to delete the old service and create a fresh one.
