How do I manage my calendar and appointment settings?

Managing your schedule effectively is key to a smooth-running business. In this article, you will learn everything you need to know about setting up your calendar preferences, the appointment colours, how to handle customer modifications and no-shows, and how you can use email and SMS reminders to help you stay organised and keep your clients informed.


How do I customise my calendar layout?

Personalise your calendar layout by navigating to Settings > Calendar > Calendar Settings. Here is the full list of settings you can modify to your liking:

  • Slot Interval: The time you set here affects how your calendar looks. The interval is set to 15 minutes by default, but can be adjusted from 5 to 30 minutes.

  • Appointment Colour: You can choose how appointments are displayed in your calendar, either by the employee's assigned colour or the service category colour.

  • Hide employees not scheduled for the day: When enabled, employees who are not scheduled to work that day will be hidden from the calendar's day view.

  • Add an end buffer to create gaps between appointments: In addition to setting buffer times for specific services, you can create automatic gaps by placing a time buffer after every appointment so they don't follow one another immediately.

  • Share your calendar with external programs: Keep your complete schedule at your fingertips by syncing your Salonized calendar with external programs like Google Calendar, Apple Calendar, and Microsoft Outlook.


How do I manage customer modifications and no-shows?

You have full control over how customers interact with their bookings and how you handle missed appointments. Please note that these modification settings are disabled by default.

  • Allow customers to cancel their appointments online: When enabled, customers receive a cancellation link within their confirmation email. You can decide the minimum notice required (e.g., between 0 and 72 hours in advance).

  • Allow customers to reschedule appointments online: Once active, customers receive a link to choose a new date and time for their visit. You can set the rescheduling window (e.g., between 0 and 72 hours in advance).

  • Ask me to send a no-show email to the customer: If you enable this setting, an email will be sent to customers when you mark them as a ‘no-show’. To ensure accuracy, the system will always require your confirmation to send the email.


How do I manage reminder settings?

Keep your customers informed and reduce the likelihood of missed appointments by sending automated reminders.

  • Send appointment reminders by email: You can choose how many hours in advance customers receive their reminder. Email reminders are enabled by default to ensure your clients are consistently notified.

  • Send appointment reminders by text message: This follows the same principle as email reminders. Please note that one SMS reminder costs 1 credit per customer (up to 160 characters). You can purchase SMS credits at any time through Settings > Buy Credits. More info here.
