Changing or deleting recurring appointments

Change or delete the entire series of recurring appointments or just an individual appointment in the series? This is how it works.

The recurring appointments feature allows you to add a series of appointments to your calendar at once. But there are times when you may want to adjust something to the appointment, such as the time or the day. 

Within a series of recurring appointments, you can edit and/or delete individual appointments, just like you can with regular appointments currently. In this article we explain how this works.

Make a change to the whole series

In order to show you how to change an appointment, we first create an example of recurring appointment:

The rules of the recurring appointment (shown above) is as follows:

  • The recurring appointment will be made at 12:45 hrs.

  • The customer is scheduled on Saturday (weekly repeated)

  • The customer comes once every week (interval)

  • 5 appointments created at once

Let's say, for example, we would like to change the time from 12:45 to 14:45 from the third appointment onwards. The first step is to find the relevant appointment. As long as no changes have been made to the series, the appointment looks like this (screenshot below):

  • The appointment is not yet "active"; this means that the appointment is still part of the entire series and has no individual changes.

If we want to move all future appointments from 12:45 to 14:45, we click on the "Reschedule" button on the right and move the appointment in the calendar to 14:00. Another way to move the appointment is to drag the appointment in the calendar.

When we have moved the appointment in the calendar, the following screen will appear:

There you can select whether the change (in this case the time from 12:45 to 14:45) should be applied to this appointment only, or to all future appointments.

Please note: did you choose to only reschedule this appointment? Then after saving, the appointment is no longer part of the whole series of appointments, but has become an individual appointment. Other changes to the whole series of appointments will then no longer apply to this particular appointment.

Change one appointment within the series

If you want to make a change to one appointment within a series, you should follow the same steps as above. 

You first look up the appointment you are looking to change. Do you want to move the appointment? Then click on the "Reschedule" button or drag the appointment in the calendar to another time or day.

After moving the appointment, you will see the following screen:

Choose the option: "Only this appointment."

Do you want to make another change to the appointment, for example: checkout, add a treatment report, add a note or fill in a form? Then you have to activate the appointment first. After activating the appointment, you can adjust it to your wishes. 

Please note: If you activate an individual appointment within a series of recurring appointments, the appointment in question is no longer part of the series.

After activating the appointment, you are free to change anything;

Deleting an appointment

When deleting appointments within a series of recurring appointments, you have the option to choose to delete:

  • Only this appointment

  • All future recurring appointments

Find the relevant appointment and click on the "Delete" button. 

In the next screen, choose whether you want to remove the entire series from your calendar, or just the appointment in question.
