How does online rescheduling work?

Want to let clients reschedule their own appointment? Here's how to turn it on, what your client sees, and how to spot an appointment that was rescheduled online.

You can let clients reschedule their own appointment to a new date or time, using a link in the confirmation email. Read on to find out how to turn it on, what your client sees, and how you'll know an appointment was moved.


How do I turn on online rescheduling?

Go to 'Settings', then 'Calendar settings'. Under 'Changes by customer', turn on 'Allow customers to reschedule their appointments online'. Once it's on, we'll send your clients a link so they can pick a new date and time themselves.

You can also set 'Amount of hours in advance appointments can be rescheduled': 0, 1, 3, 6, 12, 24, 48 or 72 hours. The default is 24 hours.

The reschedule link is already included in your confirmation email by default. If you've customised that email and removed it, you can add it back - or add it to your reminder or rescheduled emails instead - from 'Messages' then 'Email templates'.


What does my client see when they reschedule?

When your client clicks the link, they get the same booking screen as a new online booking, pre-loaded for that appointment. They choose a new date and time and confirm.

The new time has to be a genuinely open slot - the same availability check as a fresh booking, for the same staff member and service. If that staff member has no free slot at the new time, the reschedule isn't offered.


When can my client no longer reschedule online?

Online rescheduling stops working once the appointment is closer than the cut-off hours you set for it. The appointment also has to be in the future, and it can't be rescheduled if any of its services have since been removed from your service list.


How do I know an appointment was rescheduled online?

Open the appointment and check 'History' - a rescheduled appointment shows there with the old and new time.

You'll also get an email confirming the new time, on top of the calendar and Dashboard update.
