What are rebook reminders, and how do they work?

Automatically send customers an email after a specific period of absence and increase the number of returning clients to your salon.

Salonized offers a fast solution for reconnecting with customers you haven't seen in a while. Rebook reminders encourage clients to return to your salon, increasing customer loyalty and keeping your agenda full. In this article, you’ll learn what they are, how they work, and how to start using them.


What are rebook reminders?

A rebook reminder is an email that is automatically sent to customers after a certain period of absence (for example, 6 weeks after their last haircut) if they have no upcoming appointments scheduled. This ensures your customers return more often and more quickly.

You can set up automatic invitations per treatment, enabling them only for your salon's most popular services or for just one type of treatment.

This feature is part of the Salonized Marketing environment, available exclusively for the Pro plan.


What determines if an email is sent?

An email is sent if:

  • The customer's last appointment was exactly the number of days ago that you configured (e.g., 100 days).

  • The customer has no future appointments scheduled and has not had a recent appointment (regardless of the treatment type).

  • The last appointment was not marked as a 'no-show'.

  • If a customer qualifies for two invitations (e.g., their last visit consisted of two treatments and they both have reminders enabled), they will receive only one email.

Note: If a customer receives the invitation email and books an appointment directly through it, you will see this reflected in the appointment details in your calendar (see the example below)


How do I enable Rebook Reminders?

To enable booking reminders on Salonized:

  1. Click on the 'Marketing' icon in the left-hand menu.

  2. Select ‘Rebook Reminder’ on the top bar.

  3. Click the ‘Enable rebook reminder’ button at the centre of the screen.

  4. You can then choose the services you want to activate it for and customise the email.

Note: To disable them, click on the toggle switch.


How do I select treatments for rebook reminders?

If you wish to send rebook reminders only for specific services or categories:

  1. Go to ‘Marketing’ > ‘Rebook Reminders’.

  2. Under ‘Services’, click on ‘Modify Services’.

  3. Select the treatments you want to enable reminders for.

  4. Enter the number of days after which the email should be sent if the service is not rebooked.

Note: the suggested (default) time is calculated based on the most common return period for customers for that specific treatment.


Can I customise the content of my rebook reminder?

Yes, you can fully customise the content of the email to your liking. To do so:

  1. Go to ‘Marketing’ > ‘Rebook Reminders’.

  2. Under ‘Email’, click on ‘Customise email’.

  3. Adjust the settings to your liking.

The editor works exactly the same as the newsletter builder. You can choose:

  • Branding: Display your logo and upload an image of your choice.

  • Colours: Determine the email's colour scheme. The colour set by default is the same as your booking widget, but you can adjust this to your preference.

  • Personalisation: The title and message are mandatory fields.

  • Variables: Personalise your email by adding variables. Variables are used by the system to fill in the correct information for each customer. These include:

    • {{weeks_since_last_appointment}} = the number of weeks since the customer's last appointment (based on the reminder period set for the service; e.g., 100 days would be 14 weeks

    • {{days_since_last_appointment}} = the number of days since the customer's last appointment.

  • Call to action: Add a primary button to prompt certain actions, such as booking a new appointment. You can fully customise the button text to match your brand’s voice. By default, the "Book an Appointment" button opens the booking widget with several details already pre-filled:

    • Treatment type

    • Customer’s Name

    • Customer’s email address

    • Customer’s Phone number

This creates a smooth experience, making it incredibly fast for your clients to rebook their favourite treatment. The pre-filled details can also be modified by the customer if necessary.
