How do I reduce no-shows?

Three settings that bring down missed appointments: reminders, a deposit at the time of booking, and a record of who did not turn up.

A no-show costs you the appointment and the slot you could have given to someone else. You will never rule them out completely, but three settings bring the number down: automatic reminders, a deposit taken at the time of booking, and a record of who has not turned up before. How do I remind customers of their appointment?

The most common reason for a no-show is that someone forgot. You can send an automatic reminder by email or by text message. The email reminder is on by default; the text message reminder stays off until you turn it on.Here is how to set up and edit the automatic emails.

For both, you choose how many hours in advance the reminder goes out: 1, 2, 4, 8, 12, 24, 48 or 72 hours.

Text message reminders need credits. They are only sent while your balance is above zero, and a message costs one credit per 160 characters per customer.Read more about appointment reminders by SMS.

How do I ask for a deposit before the appointment?

A customer who has already paid something is far less likely to drop the appointment. In your online booking settings, turn on online payments or deposits. You get four options: online payments off, full payment optional, deposit required, or full payment required. It is off by default.

If you choose a deposit, you set the percentage yourself, anywhere from 1 to 100 percent of the appointment price.

You can limit the deposit to new customers only. Someone counts as a new customer while they have no completed past appointment on record. That way you ask for prepayment from the group where the risk is highest, without putting your regulars through it.

You also choose which appointments it applies to: all of them, only appointments above a price you set, or only appointments longer than a duration you set. That lets you protect the long, expensive treatments where a no-show hurts most.

Online payment only works once a payment provider is connected to the app. The app supports Salonized Pay, Mollie and Stripe. Salonized Pay is the app's own payment solution: your card terminal in the salon and your online payments run through one provider, and once your account is verified and online payments are switched on, you can collect deposits through the booking widget. How do I record that someone did not turn up?

Open the appointment in the calendar and mark it as a no show. The appointment is not deleted; it keeps its place with a no-show state, so you can still see what happened.

You can have the app send the customer a no-show email. It is off by default, so switch it on if you want to use it.Read more about the automatic no-show email.

For every customer, the app counts how many no-shows are on their record. That is the number to base a deposit or a phone call ahead of time on.
